We are seeking a dynamic Administrator with Procurement experience to join our team within the Theatre & Perioperative services here at Waikato hospital.

 

Te whiwhinga mahi | The Opportunity

As a successful Product Administrator you will play a key role in in providing all aspects of the administration of procurement, supply chain processes as well as other services. You will work very closely with the Team Leader to provide a seamless process in procuring items required for all areas of the Theatre & Perioperative and Interventional Services.

This role is a varied role suited to someone who is able to work well in a team environment, prioritise workloads, and enjoys the challenges of working in an ever changing environment

This is a Permanent position, 40 hours per week where you will work Monday–Friday 7:30am-4pm. Please note these hours are subject to change.

Key responsibilities of the role:

  • Provides a high quality interaction at all times.
  • Ensure that all activities and tasks are carried out promptly, effectively and efficiently (completed within required timeframes) as per the desk file for the area.
  • Answer calls where possible, clear all messages from voicemail and pass onto the appropriate staff in a timely manner as per departmental needs.
  • Ensure that all security and other protocols are adhered to at all times are per Heath NZ Waikato policy.
  • Maintains confidentiality and restricted access to files.
  • Supports the running of an efficient procurement service.
  • Request quotes and process purchase orders.
  • Enter any information into data bases as required and requested by the service.
  • Assist in keeping the desk file updated as required.
  • Order stock/supplies for the Theatre dept.
  • Collection from onsite inwards goods ordered by the department.
  • Delivery of supplies to the requester.
  • Attend procurement meetings required to support the service.
  • Performing other duties considered to be within the scope of this role as agreed by you and your manager.

The Theatre and Anaesthesia Department includes 25 Operating Theatres, an Interventional Radiology suite, Post-Anaesthetic Care Unit, Day of Surgery Admission Unit, Endoscopy Unit and Sterile Services Unit. A broad range of surgical specialties include General Surgery, Vascular, Cardiothoracic, Urology, Neurosurgery, Orthopaedics, Ophthalmology, ENT, Plastics, Paediatrics, Delivery Suite, Gynaecology, Maxillofacial and more.

 

Mōu | About you

  • Possess excellent communication, time management and organisational skills
  • Be accurate, with great attention to detail
  • Be a team player
  • Have a strong customer service focus
  • Proven and demonstrated experience in an administration role
  • Microsoft Office computer skills.
  • Previous hospital system experience would be an advantage but is not essential, as training will be provided.
  • Previous Procurement experience is essential
